Overview

The Project Management team at Shift Paradigm works in a fast-paced environment, facilitating and orchestrating teams of energetic, creative, problem-solving marketers. We deliver analytical thinking and relentless problem solving, pursuing efficiencies and establishing and evolving processes. As the stewards of process, we collaborate with Client Success, Delivery Leadership and Sales to guarantee that process meets strategy in a timely fashion based on set expectations while juggling the client’s larger strategic vision along with the project’s intimate details. This is a fully billable, client facing role. 

As a Program Manager, you are a natural leader who can conduct a symphony of projects with ease and excellence. This role requires someone who is a self-starter and can assess any challenge with client-minded solutions while also serving the project scope and Shift Paradigm’s financial responsibilities. Program Managers command the room and are able to seamlessly and successfully lead the delivery of complex, multi-discipline projects and programs, driving forward progression and meticulously tracking all project details. Program Managers take on a strategic role in program oversight, decision-making, client escalation, and administrative responsibilities. They are also responsible for identifying and mitigating risks at a program level. Program Managers have a higher level of organizational responsibility than Project Managers.

  • Tech Stack & Data Optimization and Roadmapping
  • Template + Nurture + Reporting + Team Enablement and Training
  • Custom website/application builds
  • Digital marketing campaigns including email development, landing pages, traffic management, master template builds, HTML only builds, journeys, trigger monitoring and maintenance

Responsibilities

  • Manage multiple, concurrent projects involving cross-functional teams, typically focusing on more complex projects and/or clients.
  • Project/program assessment, portfolio/program health, overall trends and KPIs for the program, keeping apprised of the program status, being an escalation point for clients and optimizing processes/ways of working to find efficiencies and provide consistency.
  • Define and provide direction on decision-making procedures/metrics for validating impacts to projects. 
  • Own the necessary administrative tasks that are critical to keep projects and programs running smoothly (team coordination, meeting creation, documentation, follow-ups, system access, etc.). 
  • Own, build and manage detailed, accurate and up-to-date project plans within the PPM tool, manicuring and ensuring data accuracy across the full project lifecycle.
  • Identify, track and mitigate project and program risks. Own and run internal risk reviews for the project team for regular discussion and alignment on solutions.
  • Develop a communication plan in concert with Client Success and Delivery Lead. 
  • Elevate project management and provide project leadership. 
  • Participate in scoping and SOW creation.
  • Understand the engagement requirements, growing technical knowledge where needed.
  • Report on account and project data, including burn and revenue forecasting and recognition, providing analysis on impacts to project efficacy, progress, ROI and more.
  • Lead project health meetings, providing accurate and up-to-date data and analysis. 
  • Gather requirements, manage client-specific assets and ensure the project team is set up for success with all appropriate elements prior to project kickoff and throughout the project.
  • Optimize communication flow among the internal team, effectively communicating risks, dependencies, blockers and impacts to timelines internally and externally. 
  • ​​Partner with each cross-functional department to support company and client goals.
  • Ensure all resources are aligned and informed of the project expectations and deliverables per the SOW; follow up as needed.
  • Bring visibility on resourcing issues to appropriate internal stakeholders. Ensure assigned team members know where and how to track their time, and do so appropriately. 
  • Identify and prioritize backlog and/or out of scope items.
  • At times you may be asked to identify and take on special projects in addition to existing workload (taskforces, internal projects, process identification and optimization, etc.).
  • Support in PM process documentation.

Manager Responsibilities:

This role may eventually include manager responsibilities with one or more direct reports. At the onset of your employment, the focus will be solely on the delivery of excellent program and project management across all assigned engagements. 

A Week in the Life

  • Embracing an “everything, everywhere, all at once” mentality in your PM role, acting as the central hub and knowledge source for all project details, comms and coordination.
  • Leading cross-functional team meetings/scrums to review project status, discuss challenges and drive forward momentum. 
  • Analyzing project data and team/client behaviors to identify potential issues and areas for improvement. 
  • Participating in the existing business sales process and/or new business RFPs, and working closely with Sales, Client Success and Delivery Leaders. 
  • Leading internal and external meetings and email communication to align on project health, progress, open questions/issues and current and projected project timelines and budget impacts; along with presenting remediation solutions. 
  • Providing support to fellow team members and delivery resources in all Project Management areas and beyond. 
  • Articulating complex ideas in concise written or verbal formats, and challenging the project team where appropriate.
  • Practicing strong communication and team player mentality in all facets of work life, and exercising soft skills and willingness to learn. 
  • Contributing to the Shift Paradigm remote culture by meeting with new folks, participating in the Slack fun and innovating together. 

Qualifications/Experience

  • 5-6 years of excellence in a Project Management role, in a fast-paced, agile environment.
  • Certified Associate in Project Management (CAPM) and/or Project Management Professional (PMP) or related project management education is highly valued coupled with willingness to continue education.
  • Quick-learning, self-starter, able to implement order and structure where little to none exist.
  • Experience in Project Management principles and methodologies (waterfall, agile, hybrid) so as to blend them with Delivery frameworks.
  • Strong understanding of the project lifecycle, managing the development, maintenance, monitoring, controlling and completion of all projects.
  • MarTech background required.
  • PPM tool experience required. 
    • (Examples: Workfront, Asana, Monday.com, Wrike, Basecamp, etc.)

As required by law, Shift Paradigm provides a reasonable range of compensation for roles that may be hired in California, Colorado, Hawaii, New York, New Jersey or Washington. The salary range for these residents is $90,000.00 to $115,000.00. Salary is based on several factors including but not limited to role, skillset, relevant education, level of experience, certifications, etc. In addition to base salary, Shift Paradigm offers benefits such as medical, dental, vision, STD/LTD, Life/AD&D, Flexible Paid Time Off, and various other ancillary benefits and perks.
